Paubox is a SaaS company that provides HIPAA-compliant secure email to healthcare organizations. Paubox grew quickly and struggled to scale its finance operations with spreadsheets and manual processes. The SaaS provider decided to implement Ordway’s subscription billing, revenue recognition, and accounts receivable modules to automate many of its routine monthly processes.

Automated KPI Reporting
The main reason that we selected Ordway was the automation. We basically wanted a tool that would allow us to configure our products that we like, our plans, and do all the reporting on those individual products and plans such as churn, revenue churn, ARR growth, and to be able to see those at detail.

Sending 3,000 Invoices Manually Each Year
Before we decided to get Ordway, we would send all our invoices out manually. So we have one person sending out 3,000 invoices every year. Then, when we receive payment for those customers, they have to match the payment in our general ledger. Going through each transaction individually, there’s plenty of room for error. Also, the Excel file had so many transactions. It was crashing, which was infuriating.
Automated Revenue Recognition
Once we switched to Ordway at the end of each month, I basically just run a journal entry run. It does all the revenue recognition for us and then we’re able to just post a journal entry one time, which has saved hours of work.
Salesforce CRM Integration
What I really liked about the Salesforce connection between Ordway was you could get very granular in the fields that you choose. You can create custom fields in Ordway, custom fields in Salesforce and really map them together. The other Salesforce connectors that I’ve seen from other tools, they kinda seem very one dimensional. You had to conform how you use Salesforce to how they want it set up with their system. Whereas, Ordway, we kinda customized it for how our solution works.
Scaling without Hiring FTEs
Ordway allows us to get more work done with less. Now that we’re automating a lot of our invoicing, automating a lot of our AR and follow up for overdue payments, we’re able to bring on more customers and not have to hire additional people to work those customers. I definitely recommend Ordway to anybody who is a subscription business and looking to gain some automation as well as gain some insight through the reporting that Ordway offers.
